  • Receive all the phone calls, including requests for appointments and requests for information; record messages.Transfer of telephone calls.
  • Receiving, sending letters and documents, using office equipment. Sort, inventory and distribution of correspondence and documents. Verifying the details of the Representative office in incoming messages.
  • Assistance to the chief accountant;
  • Booking of hotels, tickets, transfers, restaurants. The issue of visas to visitors and staff members of Representative office. Search for new service providers (negotiating with suppliers).
  • Full documentation support and assistance to foreign employees arriving to Ukraine.
  • Preparation and execution of documents for business trips, hospitality, gifts, other primary documents. Control the timing of submission of documents to the accounting department.
  • Work with all suppliers of administrative services, the order of services, timely receipt of supplier documents (bills , statements, invoices), preparation of appropriate administrative documents (Application, Payment Slip, etc.).
  • Purchase / order supplies (business cards, books, stationery, food, household goods, cartridges for office equipment and office equipment, etc.). Timely receipt of documents from suppliers (accounts, certificates, invoices, etc.), design of appropriate administrative documents (Application, Payment Slip, etc.).
  • Providing accounting and distribution of office equipment, and control over the procurement process (negotiations with suppliers). Implementation of subscriptions to newspapers and magazines. Work with suppliers of telephone services.
  • Reception and guest service (tea, coffee). Organization of meetings and internal meetings.
  • Organization of corporate events.
  • Questions of fire safety (instruction, logging). Labor protection issues.
  • Logging and Reporting (incoming, outgoing correspondence, gifts and entertainment expenses, etc.).
  • Translation of accounting and other documents, scanning, copying, as directed by line manager and Head of Representative office.
  • Scheduling of vehicles and drivers.
  • Perform other assignments of immediate supervisor.
  • Work experience 3+ years;
  • Higher education (management, economics, psychology);
  • Honesty, attentiveness, high working capacity;
  • Communication skills, teamwork skills;
  • English - ADVANCED level (or very strong Upper Intermediate).
